Duke Statistics Computer Account Policy

Introduction
Duke Statistics offers active computer accounts to all current faculty, staff, Ph.D. candidates, academic visitors, and to certain other individuals with ongoing research or teaching associations with Duke Statistics. All accounts for individuals not currently employed by Duke Statistics, enrolled in an Duke Statistics degree program, or appointed to secondary or adjunct faculty status in Duke Statistics must have a sponsor, a current Duke Statistics faculty member (regular-rank, adjunct, or secondary) who accepts responsibility for resources consumed by that account. Sponsorship must be renewed annually.
Grace Period
Normally faculty, student, and academic visitor Duke Statistics accounts will remain active without need of a sponsor for a grace period of one year, six months, and one month, respectively, following departure from Duke Statistics. During this grace period users will retain full control of their accounts and web pages in order to ease their migration to other systems.
Archival
Duke Statistics strives to maintain daily backups of all user files. In addition, an effort is made to provide departing users with a permanent archive of their Duke Statistics files, as follows:
- Faculty and Student accounts:
- Upon expiration of a student or faculty account all files will be archived and removed, freeing up the resources they consume for current users. A copy of the archive will be given to the user (currently this is implemented with CD/R media). A duplicate copy of the archive will be maintained at Duke Statistics for at least five years after account expiration, and will be made available to the user upon request. Also at the user's request, sensitive data will be encrypted or removed from the archive.
- Staff accounts:
- When a staff member leaves Duke Statistics, his or her personal files will be archived in the manner described above. All other files will remain the property of Duke Statistics.
- Visitor accounts:
- Ordinarily, short-term visitor accounts are not archived, but archival is available on request. Long-term academic visitor accounts are treated in the same way as Faculty and Student accounts.
E-mail and Web Pages
All current Duke Statistics account users may send and receive e-mail through their Duke Statistics accounts and may maintain personal web pages. Ordinarily a user's e-mail address will remain functional for at least three years after departure from Duke Statistics. During the grace period, a user may elect whether to retain an Duke Statistics e-mail address and web page or to forward e-mail and redirect web pages to a new location of the user's choice. Following account expiration, e-mail must be forwarded and web pages must be redirected.
